Provides administrative and clerical support specifically related to marketing department activities.


  • Under general supervision, follows established company policies and procedures and applies acquired job skills to provide administrative and clerical support for marketing department activities.
  • Provides routine administrative assistance to marketing executive(s) which include: screening mail telephone calls, scheduling appointments, maintaining calendar, responding to routine inquiries, coordinating travel arrangements, faxing, ordering supplies and maintaining department files.
  • Prepares correspondence and distributes all memos, reports, and messages to field and in-house personnel.
  • Manages records, organizational chart updates, and contact information for the department.
  • Prepares materials for conferences, appointments, meetings, telephone calls etc.
  • Acts as a liaison between marketing executive(s) and staff to coordinate meetings, conference calls, relay information, and follow up on projects or assignments in process.
  • Coordinates off-site meetings including site selection, meeting room set-up, accommodations, and refreshments.
  • Acts as a liaison between the Marketing Department and healthcare professionals including physicians, nurses, dietitians, and other dialysis clinic staff members.
  • Responsible for confidential and time sensitive material.
  • Performs functions that require full knowledge of general aspects of the job.
  • Works on assignments that are semi-routine in nature, but recognizes the need for occasional deviation from accepted practice.
  • Contacts are typically with individuals within own department and occasionally with contacts outside own organization.
  • Handles material of a highly confidential nature.
  • Reviews and complies with the Code of Business Conduct and all applicable company policies and procedures, local, state, and federal laws and regulations.
  • Assists with various projects as assigned by direct supervisor.
  • Other duties as assigned.

  • Majority of the time is spent working at a desk.
  • Must be able to use file cabinets, handle light to medium weight supply boxes and assist with weekly mailings.

  • High School Diploma required.
  • Associates Degree desirable.

  • Minimum 1 2 years of related experience.
  • Detailed, thorough approach to problem solving and able to accurately complete projects in a timely manner.
  • Excellent organizational skills including the ability to set up filing systems, computer-filing databases, etc.
  • Ability to employ basic reasoning skills.
  • Proficient with PCs and Microsoft Office applications.
  • Knowledge of organizational operations procedures, business, and technical vocabulary.
  • Ability to communicate (verbally written) with considerable tact and diplomacy. At ease communicating with senior management and executives in all areas of the company, and medical professionals.
  • Capable of analyzing complex information requests determining complex trends.
  • Ability to exercise considerable discretion independent judgment when making decisions and interacting with clients.
  • Flexible and able to work in a fast-paced, changing environment with minimal supervision.
  • Knowledge of organizational operations, procedures, policies, and practices.
  • Wide degree of creativity latitude expected.
  • Strong interpersonal skills necessary for working with internal and external customers.
