To sell, coordinate, and service all weddings and assigned events to the clients specifications while adhering to all Resort Collection departmental policies and procedures. Act as first point of contact for clients and maintain relationship throughout the event planning process through event date and follow-up.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Prepare marketing material and attend various wedding trade shows to promote Resort Collection weddings
  • Answers prospective client calls, emails, and regularly checks website listings
  • Establish relationships with clients in an effort to meet and exceed annual Catering Sales goals
  • Utilize Delphi and Excel to run space availability and pace reports.
  • Work with Marketing Department to keep social media and website listings up to date with current wedding event pictures and content.
  • Establish and maintain consistent communication with clients via email and telephone; Respond to all clients within 24 hours of contact
  • Coordinate and finalize function space setup, dcor, food and beverage menus
  • Up sell food and beverage menus and additional functions to achieve budget
  • Conduct site visits with prospective wedding clients
  • Coordinate and host vendor appointments and menu tastings with clients
  • Gather and share knowledge of current and cutting-edge wedding and event trends and recommend to clients
  • Develop and maintain relationships with local vendors; Communicate effectively and efficiently with vendors via email and phone; Respond to all vendors and prospective vendors within 24 hours of contact
  • Create Banquet Event Orders for all weddings and assigned events from catering sales manager; Provide Banquet Event Orders to clients 4 weeks prior to event for client approval.
  • Consistently communicate with the Banquet Staff and Chefs regarding event requirements, timing and special requests
  • Attend weekly departmental and staff meetings to update department managers on all upcoming weddings and special events
  • Assist with catering office administrative tasks to achieve budget
  • Troubleshoot event and operational obstacles and resolve in a timely, professional manner while ensuring client satisfaction
  • Consistently work to exceed clients expectations by proactively anticipating their needs
  • Inspect all function space prior to the start of the function to ensure that setup and dcor is per the clients and Banquet Event Orders specifications
  • Attend the pre-function line up with the Banquet Staff and review function requirements and time line
  • Audit banquet tickets and final bills to ensure accuracy of charges
  • Maintain a detailed knowledge of the Resort and all amenities that are offered

    Regular attendance is required in compliance with company standards. General hours are day shift, however this position requires attendance at events, banquets and meetings and may require early morning and evening hours. Position requires flexibility in scheduling based on business levels.

    Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.Certificates and Licenses

    Certified Wedding Planner encourage but not required

    Starting hourly rate based on experience.
