Education Requirements

Bachelor's degree in a related field preferred; equivalent combination of relevant education and experience acceptable.

Work Experience

Must have at least two-years experience in graphic and web design, clerical work, communications, and event management. Advanced design skills in Adobe Creative Suite required. Intermediate skills in MS Word and Excel. Social media content management and data entry experience a plus.

* Must be extremely organized, detail-oriented, timely, professional, team-oriented and able to manage multiple priorities in high-paced setting.
* Strong customer service skills; cooperative and sociable with public.
* Intermediate skills in data entry, MS Word and Excel
* Skills in database coordination, graphic design, web design and social media content management a plus
* Valid Massachusetts Drivers License
* Strong interpersonal written and verbal communication skills
* Ability to work independently

Principal Functions

The Advancement Coordinator is a full-time position and will assist with communications/design and direct marketing. The position encompasses a wide variety of tasks included in the setting up and running of successful volunteer experiences and events, assisting with data entry and database coordination, assisting with public relations, marketing materials, answering phones and general office tasks as needed. Occasional evening and weekend work is required.

Duties and Responsibilities

The Advancement Coordinator will assume the following responsibilities:

Call and email vendors, volunteers, staff, and corporate contacts as directed to coordinate printing/deliveries, volunteer schedules, invoicing, and other communications.

Create, print and distribute promotional materials and signage.

Assist Director of Communications, Marketing & PR in working with Corps to determine best marketing/design pieces for their needs in maintaining brand consistency.

Manage and produce lists/reports to track donations, schedules, tasks and other projects using Excel, Word, mail merging as directed.

Must have experience using a relational database or constituent management software such as Raiser's Edge, ClearView or SalesForce or similar databases.

Accurately and efficiently enter donor information into data base and ensure timely donor acknowledgment and honoring of donor requests.

Coordinate, collect and organize event supplies; manage onsite supplies.

Manage onsite set up for all special events, such as Back-to-School Celebration, Thanksgiving Distribution, Christmas Castle, Annual Luncheon, Veterans, etc; and must be able to safely lift, load and unload boxes, supplies and other items up to 35lbs. Support event breakdown

Assist Advancement staff in all areas of event logistics, communications, social media, email solicitation, and materials production as requested.

Work with Director of Communications, Marketing & PR in developing and maintaining relationships with local print vendors.

Keep records on all contacts and provide reports as required.

Attend meetings as required.

Filing, copying, meeting minute taking, as needed.
