I. Position SummaryThe Assistant Coordinator, Membership provides executive and administrative support to the Vice President, Membership. S/he/they additionally coordinate multiple departmental strategic and operational initiatives, including but not limited to: research; inter-departmental communications; scheduling; meeting planning; travel coordination; expense and budget controls; and additional departmental specific projects and tasks as needed / required.The Assistant Coordinator, Membership is a key position in the successful rollout and implementation of all Membership initiative and programs, an s/he/they will play a vital role in executing the successful efforts of all departmental work plans and goals.
II. Responsibilities:1. Coordinate the preparation and distribution of programmatic content, facilitate LeagueQ & A sessions and monitor progress to drive results.2. Act as a subject matter expert (SME) regarding all Membership initiatives and programs both internally and with external stakeholders.3. Create and distribute monthly and annual help desk reports.4. Provide overall coordination and outreach to Leagues for database updates including fielding of technical queries.5. Act as the primary point of contact for Leagues participating in any of our Membership programs, answering questions and re-directing to the appropriate area for resolutions when necessary.6. Prepare benchmarking reports for all Membership initiatives and programs.7. Organize all Membership meetings both internally and with external stakeholders including recording meeting minutes.8. Coordinate Membership program content/schedule for social media outreach in conjunction with AJLIs Marketing and Communications Department.9. Compile snapshot League reports in support of regional meetings and service visits.10. Monitor inter-departmental workflow, task and project assignments to ensure adherence to deadlines.11. Collaborate with Meetings Department to support on-site membership programming.12. Provide Help Desk support by phone, email and on the website, furnishing a response ASAP, ideally within 24 business hours.13. To perform other duties as workload necessitates.
III. Qualifications:1. Bachelors degree preferred.2. Demonstrated curiosity and ability to take initiative.3. Previous Membership experience required (3+ years)4. Prior experience with a variety of technology platforms, including webinar platforms.5. Demonstrated curiosity and ability to take initiative. Flexibility, adaptability, and the ability to work on a wide variety of tasks independently and in a team structure6. Previous nonprofit experience a plus, preferably in an affiliate-based membership organization.7. Excellent customer service skills including: active listening, critical thinking, empathy, problem solving and complex communication.8. Ability to occasionally work evenings / weekends.9. Excellent written and verbal communications skills.10. Strong analytical, organization and communication skills a must.11. Ability to prioritize and thrive in a fast-paced diversified environment is vital.12.
